Coordinate the schedule of director, ensuring that meetings, deadlpresentations and other duties are carried out seamlessly
Works closely and effectively with the director to keep him well informed of upcoming commitments and responsibilities, following up appropriately
Make travel arrangements for director, coordinating flights, accommodations and other itinerary specifics
Create spreadsheet and charts, maintain database, write departmental status report
Supervise junior-level staff, including executive assistants and secretaries, coordinates the efforts of these parties in effectively running the executive office, training staffers on internal processes and systems
Field phone calls, takes requests for meetings and coordinates various aspects of interdepartmental communication as necessary
Organize team communications and plan events, both internally and offsite
Provides a bridge for smooth communication between the Director's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff
Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the Director, some of which may have organizational impact
Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
Handle requests and queries appropriately
Manage diary and schedule meetings and appointments
Job Requirement:
Able to travel between Malaysia (Sarawak and Perlis).
Proven work experience as a Personal Assistant
Knowledge of office management systems and procedures
MS Office
Language(s): English and Bahasa Malaysia.
Outstanding organizational and time management skills
Ability to multitask and prioritize daily workload
Excellent verbal and written communications skills
