Job description

  • Coordinate the schedule of director, ensuring that meetings, deadlpresentations and other duties are carried out seamlessly
  • Works closely and effectively with the director to keep him well informed of upcoming commitments and responsibilities, following up appropriately
  • Make travel arrangements for director, coordinating flights, accommodations and other itinerary specifics
  • Create spreadsheet and charts, maintain database, write departmental status report
  • Supervise junior-level staff, including executive assistants and secretaries, coordinates the efforts of these parties in effectively running the executive office, training staffers on internal processes and systems
  • Field phone calls, takes requests for meetings and coordinates various aspects of interdepartmental communication as necessary
  • Organize team communications and plan events, both internally and offsite
  • Provides a bridge for smooth communication between the Director's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff
  • Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the Director, some of which may have organizational impact
  • Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
  • Handle requests and queries appropriately
  • Manage diary and schedule meetings and appointments


Job Requirement:

  • Able to travel between Malaysia (Sarawak and Perlis).
  • Proven work experience as a Personal Assistant
  • Knowledge of office management systems and procedures
  • MS Office
  • Language(s): English and Bahasa Malaysia.
  • Outstanding organizational and time management skills
  • Ability to multitask and prioritize daily workload
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
