Administrative Executive Duties and Responsibilities

1.     Administrative Support

  • Organize and schedule meetings, appointments, events and travel arrangements for executives and provide reminders as needed
  • Maintain master corporate calendar of all conferences, trainings, events, holidays and vacations.
  • Arrange executive travel, hotel and dining arrangements as needed
  • Support in procurement sourcing and execution and vendors management, whenever required
  • Develop and maintain efficient and effective documentation and filing system for both physical and digital records
  • Handle expenses claims compilation and management of the company’s personnel
  • Handle requests, feedback, and queries efficiently and professionally
  • Prepare reports, presentations, and other documents as needed
  • To execute ad-hoc duties when required
  • Reporting to Chief Strategy Officer

 

2.     Business Transformation Support

  • Support the company business transformation project
  • Collaborate with personnel from business units and cross-functional to support the implementation of business transformation projects
  • Assist in collecting and organizing data, conducting research, and preparing project-related documents
  • Track project milestones and deadlines, and provide status updates.
  • Participate in meetings and workshops to facilitate project discussions and document key decisions
  • Reporting to Chief Strategy Officer

 

Administrative Executive Requirements and Qualifications

  • Diploma or Bachelor degree holders are encouraged to apply
  • Minimum 2 years’ experience as an Executive Administrative Assistant or Administrative Executive
  • Full knowledge of office management systems and procedures
  • Proven experience in administrative roles, including supporting senior executives
  • Strong organizational and multitasking skills
  • Good written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently, take initiative, and solve problems
  • Exemplary planning and time management skills
  • Attention to detail and accuracy
  • Knowledge of basic bookkeeping is an added advantage
  • Proficiency in English & Chinese
