Administrative Executive Duties and Responsibilities
1. Administrative Support
- Organize and schedule meetings, appointments, events and travel arrangements for executives and provide reminders as needed
- Maintain master corporate calendar of all conferences, trainings, events, holidays and vacations.
- Arrange executive travel, hotel and dining arrangements as needed
- Support in procurement sourcing and execution and vendors management, whenever required
- Develop and maintain efficient and effective documentation and filing system for both physical and digital records
- Handle expenses claims compilation and management of the company’s personnel
- Handle requests, feedback, and queries efficiently and professionally
- Prepare reports, presentations, and other documents as needed
- To execute ad-hoc duties when required
- Reporting to Chief Strategy Officer
2. Business Transformation Support
- Support the company business transformation project
- Collaborate with personnel from business units and cross-functional to support the implementation of business transformation projects
- Assist in collecting and organizing data, conducting research, and preparing project-related documents
- Track project milestones and deadlines, and provide status updates.
- Participate in meetings and workshops to facilitate project discussions and document key decisions
- Reporting to Chief Strategy Officer
Administrative Executive Requirements and Qualifications
- Diploma or Bachelor degree holders are encouraged to apply
- Minimum 2 years’ experience as an Executive Administrative Assistant or Administrative Executive
- Full knowledge of office management systems and procedures
- Proven experience in administrative roles, including supporting senior executives
- Strong organizational and multitasking skills
- Good written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to work independently, take initiative, and solve problems
- Exemplary planning and time management skills
- Attention to detail and accuracy
- Knowledge of basic bookkeeping is an added advantage
- Proficiency in English & Chinese
